Internal Control Tip of Week – Preventive Maintenance

It is a best practice for school districts and charter schools to take time for strategic planning instead of appearing to default to a “we will fix it when it breaks” mode in one or more operational areas. In many instances, it may appear that a significant amount of time and effort in central administration is consumed with resolving a series of worst case scenarios. Operating in a reactive mode is invariably costlier over the long-run not to mention how issues affecting one operating system can adversely affect the performance of several, if not nearly all other operational systems in a district. Where a “we will fix it when it breaks” mode appears to be the norm, a district has not developed schedules for preventive maintenance activities and replacement cycles for technology systems and equipment in one or more operational areas. Dedicating a sufficient level of resources to preventive care or preventive maintenance strategies reduces life-cycle costs and helps simplify the overall management of a district, in addition to providing reasonable assurance that programs, activities and services will go “according to plan.”
