Internal Control Tip of Week – Improve the District's Capital Asset Management System

A manual inventory system for capital assets and other controlled assets involving teams of staff across all campus and department locations is a daunting task for many school districts. Keeping an up-to-date and accurate record of additions of new assets, transfers of assets between locations, and deletions of surplus assets involve very labor and time intensive processes for some districts. School officials are increasing turning to technology solutions for controlling capital and controlled assets. Advances in technology solutions now provide simple and low-cost solutions for effective monitoring, management and inventories of assets. Knowing where the district’s assets are deployed or located will also contribute to more effective instructional program management. Now is a good time to start a project for an improved inventory system - a few months before the independent auditors arrive for the annual financial and compliance audit and request the annual inventory of capital assets.
